The following section will outline our normal processes for filling patient orders.  Do note that each order is
handled by a dedicated representative and the process may vary in certain situations.

  1. Orders come into our department by phone, fax, or email.  
  2. The order is reviewed for accuracy.  All new prescriptions must include the patient's
    name, date of birth, physician name, physician phone number, drug/ item name, drug
    strength, quantity, and amount of refills.  NOTE: For medical supply orders
    information such as the patient's height and weight may be necessary.  Also it may
    be necessary to specify exactly what item is desired.  EX: Mentor 14FR Male
    Catheters, and not just "Catheters".
  3. Our database is checked to ensure that we have record of the patient's name,
    address, and personal file.  NOTE: Every patient (eff: 6/1/2009) has a detailed file which
    notes their address, contact information, past order history, and other relevant
    information.  As a pharmacy all HIPPA guidelines are followed to ensure the security
    of patient personal information.  
  4. We proceed with checking the patient's coverage, if embassy sponsored or covered
    by insurance pre-authorization may be necessary.  For self pay patients, we will
    confirm the method of payment.
  5. The medications or supplies are then filled per embassy, insurance, or patient
    guidelines.  If we do not have enough of an item in-stock to completed the order,
    generally speaking the balance of the order will be available the next business day.  
    NOTE: If the patient is embassy sponsored or covered, all orders must be filled per
    the pre-determined guidelines.
  6. The completed order is then reviewed for accuracy and prepared for delivery to the
    patient.  NOTE: It is important to let us know as soon as possible if the patient has
    moved or changed phone numbers.
  7. We have two main local delivery periods, 9am-5pm and 5pm-11pm.  If a special
    delivery time is necessary, we will do our best to accommodate the patient's needs.  
    For orders traveling outside the Baltimore/ DC metro area, we commonly used UPS
    and Fedex to deliver such orders.  Generally speaking all orders which are
    completed Monday - Friday are shipped for next day delivery, unless otherwise
    required.  The delivery date of orders traveling outside of the United States is subject
    to UPS and Fedex processing times.
  8. Once the order is completed, we move onto invoicing each order and submitting the
    invoices to the embassy or insurer as necessary.  NOTE: If an invoice is needed with
    the patient order, please let us know so that we can ensure that one is delivered with
    the order.
